FAQs

As we book our venues based on the number of delegates wishing to attend, reserving a place will not be necessary. Delegates can book on up to the day of the event without fear of missing out.

Our venues are confirmed between two and three weeks prior to the date of each event. All those that are booked to attend will receive an email with the venue details as soon as it has been confirmed.

Our venues are confirmed between two and three weeks before the date of each event. By doing this we are able to tailor each selected venue to the size of audience and ensure that conference places are available to late booking delegates.

While the exact venue may not yet have been confirmed, all our venues are within 30 minutes onward travel of all major mainline train stations and Zone One in London, and within a 15 minute onward journey for our regional events.

We are proud to be a member of CPD Certification Service, as well as meeting the customer satisfaction standards of the ISO 9001:2008 standard.

All our venues, which include both hotels and bespoke conference centres, are fully accessible to all delegates. If you have any access requirements please state when booking.

All our venues have first class audio-visual and technical facilities, with WIFI available.

If you wish to travel by car to one of our events the availability and pricing of car parking will be venue specific and the responsibility of the individual, please check the conference webpage for venue details.

We provide networking tea & coffee breaks and lunch for all delegates during the day and make every effort to cater for special dietary requirements (see below).

As our conferences are stand-alone events we are unable to swap a booking to an alternative conference.

If you are unable to attend the event you can purchase either an electronic version of the delegate pack, which contains all speaker presentations and supporting documentation. You can purchase the delegate pack from the conference webpage. Substitutions can be made at any time, to make an amendment to your booking please call us on 0870 400 1020 or email capita.conferences@capita.co.uk 

When you book online you will receive a confirmation email from us, if this is not the case please try booking online again (we will not invoice you twice if we receive duplicate bookings). Alternatively you can download the brochure on the event webpage which can be completed by hand and returned to us by fax: 0870 165 8989 or scanned and emailed to us at capita.conferences@capita.co.uk. If you cannot locate the booking form then you can request a copy here - http://www.capitaconferences.co.uk/contact-us.html. Unfortunately we are unable to take bookings over the phone.

The delegate place does not include hotel accommodation, however you can contact Capita Business Travel, quoting the conference code (found within the hotel accommodation section on the final page of the conference brochure) on 0871 521 9816 or capexternal@capita.co.uk for discounted rates.

We aim to cater for all special dietary requirements however we do require advanced notice, please state any dietary requirements when booking.

We offer a student discounted rate of £150 plus VAT, with a valid NUS card. You will be invoiced as an individual, we are not able to invoice your place of study.
For self-employed or retired enquiries we review these on a case-by-case basis, if you are self-employed or retired please call us on 0870 400 1020 or email capita.conferences@capita.co.uk 

Academies qualify for our public sector rate. If an academy is sponsored by a charity they can qualify for our concessionary discount if the booking is made by the charity.

On receipt of you booking we will send an invoice out to you; payments must be received within 30 days of the invoice date.

We will issue an invoice upon receipt of your booking and payment can be made: online by credit/debit card or BACS.

We offer Welsh versions of our brochures for events run in Wales, these can be downloaded from the conference webpage.

All of our brochures can be downloaded and zoomed in to increase the size of the text. The design and coding of our website has been implemented to support adaptive technologies (such as screen readers and text-only browsers), allowing users to increase the size of the text on their internet browser.

Due to the nature of public sector policy changes and amendments to job roles there may be unforeseen alterations to the conference programme. Capita reserves the right to alter the programme due to any unforeseen circumstances.

Cancellations confirmed in writing 14 days before the conference date will be refunded, minus an administration fee of £60 plus VAT. We regret that no refund can be made after that date, although substitutions can be made at any time. Capita Conferences are not able to offer refunds for cancellations arising from events outside of our control.
